Dec 31, 2010 v1.1
Multi-Set Implementation Notes:
Permissions –
improved The role of curator is now the sole determinant on whether or not a user has the ability to edit information about the exhibition, such as title, dates, and so forth. It has an indirect bearing on whether or not the user can edit set information. When a curator is assigned to an exhibition, he/she receives edit permissions for all of the sets contained within the exhibition. However it is possible to go into an individual set and remove the edit permissions for any one of the curatorial staff. A staff member who is assigned as a curator also has permission to enter data under the “Notes” and “Related” tabs of the exhibition.
Adding objects to sets and exhibitions
improved Both when browsing/searching for objects and viewing the Related tab for an object, there is a control which allows the user to attach one or more objects to one or more sets. When clicking the “Choose a Set” button, those sets which are contained in an exhibition will be indicated by a red “e”. Only those sets for which the user has edit permissions will be listed.
improved Browse Sets – By default, those sets which are linked to exhibitions are hidden. The user may toggle the “Do not show exhibitions” checkbox under the keyword search field in order to view exhibition sets.
Checklist controls – The mechanisms at the top of the checklist supporting the addition of objects, temporary objects, and objects from other sets have been reworked to account for the new permissions logic governing sets and cases where an exhibition has multiple sets. This control will not be displayed in cases where the logged-in user does not have “edit” permissions for at least one set in a given exhibition. In order, from left to right, here are things to bear in mind.
improved Add Objects – The keyword search works as it did before. On the resulting list of objects above the “Add” button at the bottom, the user will see one of two things. If there is only one set in an exhibition or the user only has “edit” permissions to one set, then a caption with the set's name will display. If the user has “edit” permissions to more than one set in the exhibition, there will be a pulldown showing a list of editable sets. All of the selected objects will be added to the selected set.
improved Add Sets – This operation is different depending on whether the checklist being viewed is for an exhibition or an individual set.
Exhibition – Only sets for which the user has “edit” permissions and which are not already linked to other exhibitions will be displayed in the list.
Individual set – All sets for which the user has “edit” permissions will be listed. Those which are already supporting an exhibition are indicated by a red “(e)”. We show these exhibition sets because this operation is performing a copy of active objects from one set to another. Therefore, the source sets will not be altered as we're just copying objects from one set to another.
improved Add External Object – See “a” above. The mechanism for selecting the set to which the user wishes to add the new external object follows the same rules. Note that when this form displays as part of an edit to an existing object, this mechanism is unnecessary and does not display.
improved Export Checklist – This feature works as you would expect. If it's triggered from a set checklist, then only the items for that set will be exported. If it's triggered from an exhibition, and the onscreen checklist is not filtered by set, then the entire list of active objects in the exhibition is exported. Filtering the onscreen list by a specific set will cause only that set to be exported.

December 8, 2010 v1.02
new 1.) Object numbers now persistently display on the Active and Removed tabs of the checklist.
new 2.) When adding a new temp object to the checklist, the requested fields are present(Date", "Origins", "Framed Dimensions", and "Loan Status" and the 3rd dimension figure in the dimensions field). These are not present via the checklist when editing an existing object.
new 3.) Since all of these new fields pertain to the object itself, not any sort of checklist-specific information, you’ll find that the new fields (Date", "Origins", "Framed Dimensions", and "Loan Status") can be edited on all objects by going to the Object Details screen and clicking the yellow icon next to the new Editable Fields row on the right. It's at the top of the list of object attributes. The necessary rows have been added to display these new fields on the Object Details screen.
Novemeber 23, 2010 v1.01
new 1.) "Do Not Show Exhibitions" toggle on Objects Browse by Set
fixed 2.) Defaulting of Letter Sent / Recvd columns on checklist to today's date. Empty values will now leave the field blank.
new 3.) Added "Set Primary Image" toggle on Object Details. For example, see C2003.23.2. The image designated as the primary is the one that will identify the object in search results or checklists.
